Naming Files
Why is it important to name files like this?
1) Everyone will be able to search for templates and files within the file folders without retrieving a massive list of results of files with the same name.
2) Renaming a file will allow you to identify it’s contents, where it belongs and how old it is.
Format to use when naming files:
- Include the SB number.
(if it is a for one of your listings)
- The type of document:
Examples: “NDA” Allocation of purchase Price”, Rep Agreement”, ETC.
- The date of the file in
this format: YEAR_MO_Day – Example: 2021_04_16
- If necessary, who has signed it already. Example: When a seller signs their seller disclosure, add “SELLER SIGNED” to the end of the file name. Once the buyer signs, resave the file with all of the signatures with “FULLY EXECUTED” at the end of the file name.
Examples:
- Tom Jones has completed
an NDA for listing SB760 on June 7th, 2021.
- Download the signed
document into the Listing’s DropBox folder.
- Before saving, re-name the file as such: Jones, Tom SB760 NDA 2021_06_07.pdf
- Mike Meyers is a seller
who just signed a rep agreement on April 26, 2021.
- Download the signed
document into the Listing’s DropBox folder.
- Before saving, re-name
the file as such: Meyers, Mike Rep Agreement SIGNED 2021_04_26
- Because it is a new rep agreement it does not have an SB# assigned yet, and therefor is not included in the file name.
- Johnny Dough signed his
seller’s disclosure on August 24th 2022 as part of a new
listing with us, which has been assigned to SB770
- Download the signed
document into the Listing’s DropBox folder.
- Before saving, re-name
the file as such: Dough, Johnny SB770 Seller Diclosure 2022_08_24
